What We're Looking For
Create and manage customer billing accounts and subscription records in QuickBooks for new clients, adhering to contractual terms.
Generate accurate and timely bills and invoices for over 6,000 customer accounts, including initial invoices, monthly renewals, equipment charges, miscellaneous products, and complex prorations.
Ensure billing deadlines are met and closely monitor initial invoices for potential revisions or adjustments.
Collaborate with Sales, Support, and Professional Services teams to communicate account changes, update CRM and QuickBooks accordingly.
Address client discrepancies, update contact information, and resolve billing issues promptly to prevent past due payments.
Maintain effective communication across departments and with customers, providing comprehensive responses to inquiries and documenting interactions thoroughly.
Assist with monthly audits to identify missing subscriptions and resolve unit count discrepancies between billed units and physical units for active facilities.
Monitor and respond to Wufoo requests, address questions related to warranties, returns, orders, and handle shipping complications.
Support the annual billing cycle and assist with collections when necessary.
Represent the Finance & Accounting team in cross-functional projects and contribute to operational improvement initiatives, focusing on enhancing billing process efficiency.
Provide coverage and assistance with ad-hoc projects as required
Minimum of 3 years of professional experience in a similar role.
Advanced proficiency in MS Office Suite; familiarity with QuickBooks, NetSuite, and CRM systems such as Salesforce is a plus.
Strong attention to detail and ability to maintain accuracy in a high-volume billing environment.
Excellent organizational and time-management skills.
Team player with the ability to work independently, meet tight deadlines, and contribute to various accounting tasks.
Exceptional communication and interpersonal skills.
Background in a Software as a Service (SaaS) or recurring subscription-based company (B2B preferred) is advantageous.

Annual base salary range: $72,000 - $78,000 (Please Note: This range does not reflect any target or discretionary bonuses or applicable commissions)
